The main purpose of the job:

The Office Manager typically has a wide range of responsibilities, which can include:

1. Managing on-site and off-site storage of files and organisation, including the recovery of files.

2. Creating and maintaining budgets for the firm, including expenses for personnel, office supplies, marketing materials, travel, entertainment costs, etc.

3. Review invoices from vendors for accuracy and make payment arrangements with vendors who have not been paid in full.

4. Ordering office supplies and equipment for staff members.

5. Managing and assisting with compliance, Solicitors Regulatory Authority, Law Society, Lexcel, Accountants etc.

6. Keeping and maintaining general documents, passwords, alarms, and CCTV.

7. Assisting with recruitment, setting up new starters and HR

8. Organising staff external events.

9. Assist the Partners with the general day-to-day office management duties.

10. Liaise with third parties and suppliers and assist with IT and external IT management companies.

  1. Maintain a well-organised and efficient law office by implementing systems, procedures, and policies; develop and maintain schedules.
  2. Serve as the primary point of contact for clients, vendors, and other visitors to the office, handling inquiries and requests in a professional and timely manner.

Key tasks (not an exhaustive list):

  1. The effective processing of all incoming telephone calls including the logging of calls and the conveying of messages.
  2. The provision of telephone support to partners and other staff members as required.
  3. Deal with all visitors to the reception area, especially new clients.
  4. Ensure the tidiness of the reception area.
  5. Undertake other clerical and administrative duties as may reasonably be required from time to time.
